Business Support & Secretary
A Business Support/ Secretary will work in a learning-filled environment, participating as an integral member of ADGES team. You will provide full support in office administrative task and perform as a Secretary to the company executive.

Responsibilities
The main duties of the Business Support/ Secretary can be summarized as follows:
Responsibilities:
- Overseas office administrative and be a point of office contact for the team
- Coordinate with vendors, suppliers for smooth purchasing and accounting process in timely manners
- Prepare events, workshops & learning materials, arrange the venues, coordinate with vendors to ensure smooth learning and consulting operations
- Maintain office facility and office equipment for the efficient use of the team
- Maintain excellent filing of administration process
- Manage in-coming calls, office mails and courier service and welcome company’s guests
- Perform high level of Secretary tasks, arranging the meeting (Virtual & On-site), travel arrangement and assist with general administration task as required by the executive
- Support & facilitate the company’s events and activities.
Handle ad-hoc projects, assignment as required
Business Supports
- Provide administrative support to the superior and other team members
- Answer incoming phone calls, carry out incoming & outgoing mails
- Welcome the company visitors, arrangement flights and accommodations for the company’s guests
- Arrange the meeting rooms for other team members (Virtual & on-sites)
- Carry out excellent filing and update admin-related documents
- Assist the superior in purchasing task for general office supplies, tools & equipment, obtain quotations and negotiate for reasonable prices
- Coordinate for office tools & equipment maintenance and ensure all items & devices are in good conditions
- Coordinate with external parties e.g. the clients, business partners, suppliers, local authorities in relations to the business activities
- Facilitate the workshops by preparing the workshop materials, coordinate with the clients and provide assistance in the workshops
- Provide the supports to the company’s marketing and other events & activities
Secretary
- Perform an executive secretary task and provide supports in business and personal matters as assigned
- Arrange and maintain excellent schedules for the executive and keep the executive advised of time-sensitive and priority issues, ensuring appropriate follow-up and/or preparing relevant documentation.
- Handle correspondences of the executive office, perform excellent prove-read for the accuracy prior signing
- Carry out excellent filing and properly managed the executive business & personal documents
- Travel arrangements, flight & hotel bookings & keep itinerary for the executive business trips
- Arrange the meetings with the clients and business partners both virtual and on-sites
- Maintain high level of confidential information to be in line with the executive’s directions and ADGES business practices
- Liaising with logging or processing bills or expenses for coaching clients
- Keep track, follow up tasks assigned by the executive and assist in ad-hoc tasks or projects as assigned
QUALIFICATIONS
- A Bachelor’s/master’s degree in general management, human resources (HR) and/or other relevant areas are preferred
- Experience in office administration and executive assistant
- Strong computer literate in MS Office (Word, Excel, PowerPoint & other Office Suites)
- Excellent organizational, interpersonal, verbal and written communication skills
- Good command in English, especially in business level
- Flexibility, adaptability and the ability to work under tight deadlines or changing team & client needs
- Superior organizational skills and strong attention to detail
- Being able to prioritize work and multi-tasks with low supervisory.
- Intellectual curiosity, seeking opportunities to develop new skills
- Team and client-focus attitude
